Refund & Cancellation Policy

This policy covers the subscription fees you pay Podclave LLC for Podclave seats. It is part of our Terms of Service.
One thing first, because it confuses people on every platform shaped like ours: your compute bill is not ours. Your Sprites run in your own Sprites.dev organization and Fly.io bills you for them directly. We cannot see, change, or refund anything on your Fly.io invoice — for compute questions, contact Fly.io.
What you pay us
- The first seat of every organization is free, full product.
- Each additional seat is $15/month, billed monthly through Stripe, self-serve up to 10 seats. Larger organizations are on custom terms, and this policy applies to them except where their agreement says otherwise.
- The Pro add-on is $15/month per organization, a separate Stripe subscription from seats. It unlocks Schedules and Agent Email (a pool of email addresses for your Sprites). Organizations that don’t want it stay on free/seat pricing only; there is no obligation to add it.
Adding and removing seats
Seat changes take effect immediately and Stripe prorates them:
- Adding a seat mid-cycle charges only the remainder of the current billing period, shown before you confirm.
- Removing a seat mid-cycle credits the unused remainder against your next invoice. We don’t pay out proration credits in cash unless you are canceling entirely (see below).
Adding and canceling the Pro add-on
The Pro add-on can be added or canceled independently of seats at any time, no notice period, no exit fees. Stripe prorates it the same way:
- Adding mid-cycle charges only the remainder of the current billing period, shown before you confirm.
- Canceling mid-cycle credits the unused remainder against your next invoice (or refunds it if you have no remaining balance, in line with the Refunds section below).
Canceling Pro stops Schedules from firing and gates new Agent Email address allocation — but does not delete your existing schedule or inbox configuration. If you re-subscribe, your setup picks up where it left off. Attempting to allocate more Agent Email addresses than your pool allows simply returns an error; there are no surprise overage charges.
Canceling
You can cancel at any time, no notice period, no exit fees: remove paid seats (or members) until only the free seat remains, or use the billing portal from your organization page. When your paid seat count reaches zero the seat subscription ends; nobody loses access to anything except the seats you removed. Your data, your Sprites, and the free seat continue to work — canceling paid seats does not delete anything. Canceling the Pro add-on is separate and follows the section above.
Refunds
Monthly charges are generally non-refundable once a billing period has started — proration (above) already handles the common cases fairly. That said, we are a small company and a human reads every request. We will refund, promptly and without argument:
- Billing mistakes — duplicate charges, charges after you canceled, wrong seat counts, anything where the system got it wrong.
- First-charge regret — if this is your organization’s first paid charge and you tell us within 14 days, we will refund it in full. Try the product on the free seat for as long as you like first; that is what it is for.
- Anything the law requires — if you are in a jurisdiction (for example the EU or UK) whose consumer rules grant a withdrawal or refund right that applies to you, we honor it.
To request a refund, email hello@podclave.com from the email on your account, with the organization name. Refunds go back to the original payment method via Stripe, normally within 5–10 business days of approval.
Failed payments
If a charge fails, Stripe retries it and we notify your organization’s admins. If it stays unpaid, we may downgrade the organization to its free seat. We don’t delete data over a failed payment.
If we change pricing or shut down
We will give at least 30 days’ notice before a price increase affects you. If we ever discontinue Podclave, we will refund the prepaid portion of any period we don’t deliver — and because your Sprites live in your own Sprites.dev organization, your machines and data outlive us either way.
